How to force Word's table of contents to update automatically

You've added a heading, or a section moved to a different page, and the table of contents at the front of the document still shows the old headings and page numbers. This isn't a bug — a Word TOC is a snapshot, not a live view, and it only updates when something tells it to.

Why it goes stale

A table of contents in Word is a field — technically a cached result of a TOC instruction, stored alongside the actual displayed text. When you insert a TOC, Word calculates it once and saves both the instruction and the result. Every edit after that point leaves the cached result untouched until something explicitly triggers a recalculation.

Updating it manually

  1. Click anywhere inside the table of contents.
  2. Press F9, or right-click and choose Update Field.
  3. Choose Update entire table if headings themselves changed, or Update page numbers only if only pagination shifted.

This works, but it relies on remembering to do it — and on whoever opens the document next remembering too. A document that gets edited by several people or sent out for review often ends up with a TOC nobody kept current.

Making it automatic

Word has a document-level setting that forces all fields — including the TOC — to recalculate the moment the file is opened, without anyone needing to press F9. It isn't exposed directly in the ribbon, but it can be set in the document's underlying settings: enabling update fields on open means the table of contents (and any other fields, like cross-references) will always reflect the current document state as soon as it's opened, no manual step required.

One caveat: some organizations intentionally leave this off because auto-updating fields can trigger a "this document contains fields that may refer to other files" security prompt in certain configurations. For a document you're distributing that should always show current information, it's usually worth it.

Set it automatically

Drop your .docx file in — if it finds a table of contents field, it'll offer to enable update-on-open for you. Nothing leaves your browser.
